What personal data we collect, and why

Contact form and direct enquiries

When you use the contact form (or email/phone us) we collect your name, email address, phone number (if you give it) and the content of your message. We use this to reply to your enquiry and, if you become a client, to deliver our services. The lawful basis is our legitimate interest in responding to enquiries, and the performance of a contract where you engage us.

Technical data

Our hosting provider automatically records standard server logs (IP address, browser type, pages requested, timestamps) for security and fault-finding. The lawful basis is our legitimate interest in keeping the site secure and available.

Analytics (only if you opt in)

We only run analytics if you explicitly opt in through the cookie banner or Cookie Settings. If enabled, analytics data is anonymised usage information (pages visited, approximate location at city level, device type). The lawful basis is your consent, which you can withdraw at any time via "Cookie settings" in the footer.

Who we share data with

• Hosting: this website is hosted by IONOS SE within the EU/UK. Server logs and form submissions are processed on their infrastructure.
• Email: messages you send us are received into our business mailbox (Microsoft 365 / Exchange).
• Analytics: only if you opt in, and only the anonymised data described above.

We never sell your data, and we don't share it with anyone else unless the law requires it.

How long we keep data

• Contact form submissions: kept on the website for a rolling window of the most recent enquiries (older entries are automatically discarded), and in our mailbox for up to 24 months after the enquiry closes, unless you become a client.
• Client records: kept for the duration of the engagement plus 6 years, as required for tax and legal purposes.
• Server logs: retained by our hosting provider for a short rolling period.

Your rights under UK GDPR

You have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data erased ("right to be forgotten");
• restrict or object to our processing;
• data portability (receive your data in a usable format);
• withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, email info@reidresolutions.com. We respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
